Barcodes on the SHC Platform

The SHC platform allows you a good amount of flexibility in how you use barcodes in your club.

A. How are Barcodes created and viewed on the SHC Platform? 

  • Each member account has an associated barcode on the SHC Platform. 
  • These barcodes are created during the Auto Account Creation process performed in Phase 4 of the SHC Onboarding Process (also called the Member Launch).
  • 1 barcode can only be associated with 1 account at a time. 
  • These barcodes are created based on the information obtained from the billing company. 
  • A barcode is assigned to a member account during the account creation process and is visible to members and staff members in 2 places - 
    • Members can view their barcodes on the Home > Barcode page of the Mobile App. 
    • Staff members can search and view barcodes for all members using the Web App > Manage > All Users section.
  • On the Mobile App, members can also change their barcode number using the Home > Profile section. (This is only possible if a club enables the change of barcode numbers).
  • These barcode number changes will only reflect on the SHC Platform and make no additional changes on the Billing Company. 
  • If a barcode has been changed for a member in the club's Billing Company, SHC will update their barcode number on the platform the next day since these changes will be picked up during SHC's nightly sync with the billing company. 

B. How will you, the club's Management team, control the barcode functions on the SHC Platform?

  • Barcode information can be controlled in various different ways on the SHC Platform. This can be done by clubs using the WebApp > Create > Company > Member Management section. The different options available are : 
    • Show Barcode - This checkbox allows clubs to control whether the Barcode is visible to the members on the Home > Barcode page of the Mobile App. 
    • Barcode can be changed by the member - This checkbox allows or disallows members from making changes to their barcode number which have been originally brought over by their billing information on the SHC Platform. If enabled, a member can make changes to their barcode number on the Home > Profile page of the Mobile App. 
    • Show Barcode a certain amount of time before the start of a class - This allows clubs to enforce members to only view their barcodes a certain amount of time before their reservations. Typically, clubs use this option to control check-ins only when there is a booking. 
  • Barcode information can be viewed by Managers and above on the Web App on the Manage > All Users page. 

C. Troubleshooting Barcode-related issues on the SHC Platform

 

                                  Problem                           Possibility/Solution

a. The Barcode of a member is in the Billing Company but the member can only see a "No Barcode" image on the Home > Barcode page.

b. The member receives a "Not a Member" error on the Home > Profile page. 

In most cases, this is because the member has logged in to the app with a different E-mail ID from the one created by SHC. The best way to troubleshoot this is by going to the Web App > Manage > All Users page and searching for the member's barcode number to see which E-mail ID it is associated with. 
The Member is not able to view any barcode information on the Home > Barcode page.  In most cases, this is because the viewing of the Barcode has been disabled by the club on the Create > Company > Member Management section of the Web App. 
The member's barcode has been changed on the Billing Company but does not reflect on the Mobile App.

This is possible because one of 2 reasons - 

a. The member has not waited for the nightly sync on the Mobile App and the barcode will change the next day. 

b. The account used by the member is not associated with the same E-mail ID in the billing company.
