This checklist provides all the necessary tasks a Director or a Department manager should be able to complete before the member launch.

 




Member Details and User Account Management Checklist

 

1. Ensure that the Profile and Bio are updated for Trainers and Directors.
2. How to assign roles to staff, Front Desk, Department Managers, and Trainers.

 

 

 

Company Page Checklist

1. Set up and enter details of the Club under the Company and Club page.
2. Set up a Banner and show it on the app using the Manage > Showcase option.
3. Set up a Virtual Department.
4. Set up and Change the Mobile App Layout.
5. Add FAQs on the mobile app.
6. Set up and understand the Booking and Attendance Policies for Classes and Programs.
7. Set up and understand the Booking Policies of Equipment ( courts, equipment, etc. ).
8. Set up and understand the Booking Policies of Service ( Private, Semi-Private, etc. ).

9.

Use Deep Links in different ways using QR codes, Banners, websites, and feeds.

 

 

 

Club Page Checklist

Please note that the Club Page is a location-specific page and thus all options are only limited to each location and any changes are not applied to all locations.

1. Add details of your Club under the Club Page.
2. Create and Set up Support Channels and check their visibility on the mobile app.
3. How to create Resources and define layouts
4.

How to arrange, and control the visibility, descriptions, and options of different departments.

 

 

 

Prices and Packages Checklist

1.

Create Member Packages and ensure that it is attached to assets ( Classes, Services, and Programs ).
2.

Create Non-member Packages and ensure that they are attached to assets ( Classes, Services, and Programs ).
3.

Ensure that monthly Recurring packages for members or non-members are correctly set up if being used under Create > Inventory and Promotions.
4. How to create, edit the package, set up validity, and delete a package under Create > Inventory and Promotions.
5.

How to turn on the Buy Button for different departments using Create > Company > E-commerce
5. How to Process Refunds for Members and Non-members under Manage > Orders Report
6. How to manage Sessions for members or non-members under Manage > All Users.

 

 

 

Classes Checklist

1. Ensure all the classes are set up correctly with media, descriptions, etc.
2.

Ensure that all the classes are bookable, have a defined booking window, and have the number of spots under the In-Person > Booking tab of a class.
3.

Ensure that member and non-member price is set up for fee-based classes under the In-Person > E-Commerce tab.
4.


Ensure that the booking cancellation window, waitlist options, and other options are correctly set up under the Book a Class/ Program Policy options for Classes under Create > Company.
5.

Ensure that correct policies are set up department-wise or create and set up department-specific policies if needed.
6. Use the Manage > Showcase option to ensure that the classes are visible on the app and are ordered correctly.

Services Checklist

1. Ensure all the different types of Services such as Private Services, Semi-Private Services, Court booking Services, etc. are set up correctly with media, descriptions, etc.
2.

Ensure that all the services are bookable, and have a defined booking window under the In-Person > Booking tab of a service.
3.

Ensure that member and non-member price is set up for Services and connected under the In-Person > E-Commerce tab.
4.

Ensure that the Services have the correct payroll type defined ( Commission or Fixed Amount ) for the Trainers.
5.


Ensure that the booking cancellation window, booking reminder, and other options are correctly set up under the Book a Service Provider and Book an Equipment or Court Policies under Create > Company.
5.

Ensure that correct policies are set up department-wise or create and set up department-specific policies if needed.
6. Use the Manage > Showcase option to ensure that the Services are visible ( if members are booking through the app ) and that trainers and Resources are correctly linked to the services.

Programs and Clinics Checklist

1. Ensure all the Programs, Clinics, Camps, etc. are set up correctly with media, descriptions, etc., and all the Cohort ( Batch of events ) and set up under the In-Person > Cohorts tab.
2.

Ensure that all the Programs and Clinics are bookable, have a defined booking window, and have the number of spots under the In-Person > Booking tab of a classEnable Family or Guest Bookings if needed.
3.

Ensure that member and non-member price is set up for Programs and Clinics under the In-Person > E-Commerce tab.
4.


Ensure that the booking cancellation window, waitlist options, and other options are correctly set up under the Book a Class/ Program Policy options for Programs under Create > Company.
5.

Test and ensure that correct policies are set up department-wise or create and set up department-specific policies if needed.
6. Use the Manage > Showcase option to ensure that the Programs are visible on the app and are ordered correctly.
7.

Test and ensure that the events are correctly scheduled as per the Cohorts and that it is correctly reflected on the mobile app for members.

Trainers, Payroll, and Commissions Checklist

1. Ensure all the classes have approved Trainers/ Categories for Instructor Substitutions. Test out the same on the mobile app.
2.

Ensure and check that all the Trainers and Staff have been granted Correct and limited roles in their accounts.
3. Ensure that the Payroll is set up for Trainers and added to their profile.
4.

Ensure that the Fixed Amount or Commission option for Services is selected and set up correctly.
5. Ensure that the Trainer Bios are set up.
6.

Use the Manage > Showcase option to ensure that the relevant Trainers are visible and connected to Services on the app and are ordered correctly.
7.

Test and ensure Trainers can Mark Attendance and Request Substitute for Classes on the Mobile app and Web app.

We recommend that Trainers use the Mobile app to Test out the features before the Member Launch.

 

 

 

Calendar

1. How to use different calendars (Events, Resources, and Trainers )
2.

Schedule events for classes and Programs and appointments for private, semi-private, and Court/ Equipment Booking services and ensure that they are showing up on the calendar on the Mobile App.
3. Test how to create court bookings and other events using the Create > Calendar option.
3. Test how to add a member through Calendar > Manage Booking.
4. Test how to delete a booking through Calendar > Manage Booking.
5. Test how to waitlist a member/user through Calendar > Manage Booking.
6. Ensure the availabilities of Resources and Trainers are Set up under Create > Calendar.

 

 

 

 

Reports and Refunds

1.

Check the Orders and transactions of Members and Non-members using the Orders Report under Manage > Reports.
2.
