Release Notes for Version 4.0 - March 2024

This is a major Mobile and Web App Release and it covers new features and Enhancements across the Platform.

What's New on the Web App?

  1. Smoothies

    • Clubs can set up a Banner, a new option under Create > Company > Food and Beverages, the option is called "Show Banner". This option shows a banner on the Barcode page that lets members know if the Smoothie Bar is open and sends them a notification twenty-five minutes after they enter the club letting them know that they can order a smoothie. 
    • With the latest update, clubs now have the option to activate a new category-wise sorted view for the Smoothie menu by navigating to Create > Company > Food and Beverages and checking the box for the Show Categories option. This feature provides a more organized and user-friendly way of displaying the Smoothie menu items.
    • With the latest update, SHC can now read prices from the Billing company for Smoothies and Add-Ons. When creating Smoothies, clubs need to select a price under the Related price dropdown for Add-Ons
    • Clubs can now automate the Smoothie Bar/ Cafe's Opening and closing times. The Smoothie Dashboard under Reports > E-Commerce > Smoothie Dashboard contains an option called Smoothie Bar Timings to set up automated opening and closing times.
    • A loud bell sound plays once an order is placed and the Club staff accept the orders and start preparing the smoothies. Once the smoothie is ready, the staff member can update the order status which sends a notification on the App.

  2. Purchases

    • E-Commerce/ Purchases now has a section under Create > Company called E-Commerce Policies to have more control over Purchases.
    • Clubs can now create a Recurring Charge through SHC Inventory or Package Pool. Perfect for small group training and gymnastics. For example, a small group training program for Pilates could have one class every Monday. This can be set to recurring, and members are charged a monthly subscription.
    • Clubs now can create GL codes by navigating to Create > Company > E-Commerce Section, which provides a systematic naming convention and an identifier to help track purchases and gain better clarity on how money is flowing into the Club's account through various offerings such as Cafe, Yoga, Group Exercise, Pilates Services, etc. There are three types of GL Codes hierarchy: Club Code, Location Code, and Department GL Codes.
    • Clubs using Stripe can manually charge a member using their Credit Card for a class, service, or any purchase. 
    • SHC can now read recurring EFT services from ABC.
    • Clubs can now Manage Sessions and Add Inventory Items and Packages to a member's account through the All Users page. To add an inventory item or Package pool to a user's page, Navigate to Manage > All Users > Click on a member name > Select Inventory or Package and click on the Add button to manage the sessions or packages.
    • Clubs can now manually edit the expiry date for the packages that have been purchased by a member. This can be done by navigating to Manage > All Users > Search for member and clicking on the member's name. Under the E-Commerce tab, clubs can click on the "-" or "+" sign to edit the expiry date.
    • Clubs can now control to Turn ON or OFF the Buy option for Classes, Services, Programs, Products, and Plans. These can be controlled department-wise under 
      Create > Company > Purchases.

  3. Programs

    • Clubs can now do much more to manage Program Bookings. When booking a member for a program, we allow clubs to "Give a free session", "Charge Club Account/Card on file" or "Send Payment Link" under the Manage Booking option.
    • A new option has been added for the clubs called "Family Member Pricing" under the Booking tab of a class/program where clubs can decide whether they want to charge family members of a member the same price as the member or a non-member price. 
    • Clubs can create a monthly recurring program or swim classes, events, etc. Using the new feature on our platform, Recurring Charge through Inventory and Promotions. Clubs can create a monthly recurring price with a Billing Company Package Pool or SHC Inventory Item, attach it to a Program and members can purchase these classes as a monthly subscription on EFTs.
    • Clubs can now transfer members from one Cohort ( classes ) of a Program to another provided the pricing of the cohorts are same.
    • SHC can now allow for waitlists in Programs and Lessons on the platform.

  4. Family Accounts

    • Members can now book classes, services, events, etc. for Family Members.
    • Clubs can choose to have the same or different pricing for Family members for classes, programs, services, etc.
    • SHC can now read Family Members from Jonas/ Compete.
    • Clubs can use the Manage Booking page to view Child/Adult profiles.
    • Clubs can now create Child Accounts using the All Users page.
    • With the new update, clubs can now link a Child Account or non-primary Adult to the Primary account.

  5. Reporting

    • The commission's report is now available under Manage > Report which shows the breakdown of Commission pay for all services, instructors, and trainers on the Platform. 
    • The Orders and Program Booking report has been updated with new columns to provide a detailed breakdown of the payment process. The new columns are "Total Amount", "Club Amount", "Stripe Fee", "Convenience %", "Convenience Fee", and "Refund Amount". These columns show how much money was paid by the member, how much the club has received after all the fees and refunds, and the percentage of the convenience fee charged.

    • There is a new report available named "Smoothie Report". This report contains comprehensive details about the smoothie ordering process such as smoothie orders, member details, payments, add-ons, options selected, notes, and many more. To access this report, go to Manage > Reports > E-Commerce > Smoothies.
    • Program Booking report under Manage > Reports > Classes and Programs can be accessed by clubs to pull in details of Cohort Roster and Program Revenue. It can be filtered out by cohort and programs to check individual details of cohorts.
    • We have introduced a new Report called Orders Summary Report which provides a complete summary of all the Transactions, Revenue, Sales, and Refunds over a certain date range.

  6. Bookings


    • Members can now book Courts on the Web app.
    • Front Desk Staff can now Manage Booking for classes and programs. For example, when booking a member for a fee-based class or program, we allow clubs to "Give a free session", "Charge Club Account/Card on file" or "Send Payment Link". 
    • Upon a successful booking for a fee-based class, we now show the number of sessions remaining for a member.
    • We have enabled No Show messages for members. If a No Show Time to message a member is set up under the Class Booking tab, we will now send a Message.

  7. Customization

     

    • URLs and Hyperlinks that can be added using the Create > Clubs > Department Information page
  8. Deep Links

    • Deep Links functionality of the SHC platform has been enhanced and clubs can now pick up deep links for Departments and sections of a department in addition to Classes, Services, and Products for better marketing. 
  9. Tennis/ Pickleball

What's New On the Mobile App

  1. Smoothies

     

    • Clubs can choose to show a category-wise view for Smoothies.
    • Once the Show Banner option is turned On, members will see a smoothie ordering Banner under the Barcode page which redirects to Smoothie Department on a Single Click.
    • Members can check the status of the Smoothie ( Order Getting Ready, Preparing the Order, Order Ready to Pickup ) on the barcode page.

  2. Bookings

    • Upon a successful booking for a fee-based class, we now show the number of sessions remaining for a member.
    • Members can purchase sessions and Recurring Programs/ Events for Family Members.


  3. Tennis/ Pickleball
    • Members now have more options to set up their Tennis/ Pickleball profile under the Profile page in the Courts Tab. We have added more options for member's ease.
